Adding a new employee to A4Tool is the foundational step in setting up their profile, tracking attendance, and processing payroll. This feature creates the core identity record that links to all other modules in the HRMS.
Prerequisites & Setup:

- Roles: (Admin > Roles) to define what the employee can see and do.
- Departments & Designations: (Organization > Departments) to correctly categorize the new hire.
- Working Shifts: (Attendance > Shifts) to define their expected login/logout times.

- Log in to the A4Tool dashboard.
- From the main sidebar, navigate to Employee > Active Employees.
- Click the Add Employee button.
- First Name & Last Name (Required): The legal name of the employee as it should appear on their payslips and official documents.
- Gender & Marital Status: Used for statutory reporting and tax calculations (e.g., specific Professional Tax exemptions in some states based on gender).
- Date of Birth (Required): Essential for statutory compliance.
- Work Email (Required): The official company email address. This will act as their unique login ID for the A4Tool portal. It must be unique across the entire workspace.
- Joining Date (Required): The exact date the employee started work. Crucial: This date drives the proration logic for their first month's salary and leave accruals.
- Designation & Department: Determines their organizational categorization.
- Reporting Manager (Oversight Lead): Establishes the organizational hierarchy. The selected manager will receive the employee's leave requests, expense claims, and timesheets for approval.
- Working Shift: Defines their expected daily hours. This is used by the attendance engine to calculate Late markings and Loss of Pay (LOP).
- Account Creation: The system creates a secure user account linked to their Work Email.
- Status Assignment: The employee is placed in an `initial` or `draft` status. They will not appear in active payroll runs until their profile is complete.
- Email Delivery: An automated Welcome Email is queued and dispatched containing a secure password generation link.
- Duplicate Emails: You cannot use a Work Email that already exists in the system, even if the previous employee is marked as `left`.
- Future Date of Birth: Entering a Date of Birth in the future will trigger a validation error.
- Missing Shift: If a shift is not assigned, the employee will not be able to punch in, and attendance cannot be calculated.
